JOB DESCRIPTION:

Local North County company is looking for an Administrative Assistant to join their team.  The title of the position is a Surrogacy Case Coordinator Assistant.  Ideal candidate will have at least 2 years of recent administrative experience. Preferably in the medical field.   Bachelor’s Degree is required.  Bilingual Mandarin Chinese or Spanish is a huge plus but not required.    Must have a good working knowledge of Microsoft Word & Excel.  Prior Medical, Surrogacy of IV experience is a huge plus.  Will be working with clients to provide customer service, process paperwork, perform data entry and assist other departments with needed tasks.  Recent Graduates are encouraged to apply!  This is a Temp to Hire position.  M – F 8am -5pm. Pay is $19 per hour. 

 

Job Duties:

  • Become familiar with the relationships needed throughout a surrogacy cycle which includes Liaison’s Between all parties/departments/companies during the journey
  • Become familiar and create positive relationship with our current clinics and understand the clinic referral process
  • Run backgrounds and Schedule Psychological Evaluations accordingly
  • Coordinate with medical records department to ensure records have been received and reviewed.
  • Send the necessary documents to the surrogate and ensure their returned in a timely manner and filled out completely
  • Effectively communicate and keep all parties involved in the cycle to ensure process runs smooth
  • Schedule and coordinate all appointments with the desired IVF clinic and or monitoring clinic
  • Coordinate with Travel Department to ensure travel is appropriately booked.
  • Keep in constant contact with all clinics involved to be sure you have the most recent updates
  • Guide and organize the legal preparations to proceed with the surrogacy cycle.
  • Keep in constant contact with all clinics involved to be sure you have the most recent updates
  • Coordinate/communicate updates between the surrogate, IP and clinic(s)
  • Coordinate with assigned coordinator time frames for necessary funds at the appropriate times throughout the Cycle.
  • Be aware of all appointments the Surrogate will need to attend. Closely work with IVF clinic, monitoring clinics and OB offices.
  • Keep current notes in the Database
  • Work together with assigned coordinator to Update Surrogate boards on a daily basis
  • Work closely with Insurance departments to ensure insurance is properly in place, confirming delivery hospital and OB offices are in network
  • Become familiar with  PBO process
