Growing and successful financial practice is seeking an organized administrative assistant who can interact with clients and has an eye for details. Job Description: This role supports Financial Planners.

Job Duties:

  • Scheduling/preparing for client meetings
  • Research and case preparation
  • Maintain client database (training provided)
  • Process applications for investment and insurance accounts
  • Track account completion and follow up as needed with investment firms, insurance carriers and/or clients
  • Assist clients and provide customer service
  • Prepare reports
  • Manage compliance requirements
  • Manage social media and assist with marketing efforts
  • Support and assist advisors
  • Other general administrative duties as assigned


Job Requirements:

  • Prior experience handling office responsibilities, experience in customer service, or related field
  • Experience in the Finance Industry, Familiar with industry business practices such as:
  • Compliance
  • Case Preparation
  • Carrier Relationships Management
  • Client Relationship Management
  • State Licensing and Carrier Appointments
  • New business Processing
  • Superior attention to detail and can problem solve to logical conclusion, demonstrate initiative and is responsible
  • Ability to work under tight deadlines and be a "think ahead" type of person
  • Must excel in prioritizing, organization, and multi-tasking while demonstrating attention to detail and follow through
  • Must be highly communicative, friendly, and be able to thrive in a fast paced environment
  • Work well individually and as a team player and interacts in a positive and constructive manner
  • Must have strong proficiency in Microsoft Office Suite (specifically Outlook and Excel)
  • Excellent written and verbal communication skills
  • Strong ethical standards in working with confidential client information
